Group Block Policy
We’re thrilled to help make your group’s stay at The Grove an unforgettable experience! Here’s how our GROUP BLOCK works (no boring fine print, we promise):
What’s Included
- We’ll hold a block of rooms just for your group, based on your needs and our availability.
- Room rates: Locked in until the “Release Date” – no surprises here! Room selection is up to us, but we’ll make sure your group sticks together (while considering other bookings not part of your group).
- A $20 Administrative Fee per room is due when the block is set up. Don’t worry, you can get it back (details below).
- A two-night weekend stay minimum is required during:
- The Grove Hotel: May 1 – September 30
- The Grove Motel: July 1 – August 31
Checking In & Out
- Check-in: 4:00 PM | Check-out: 11:00 AM
- Early check-ins and late checkouts aren’t available for Group Blocks – we like to play fair and keep things smooth for everyone.
Important Dates to Remember
- Release Date: Any rooms not booked within the block will be automatically released 60 days prior to your event (or sooner if you let us know). After this, rooms may still be available, but they’ll be subject to our current rates.
For Your Guests
Payment Details & Refunds
- 50% deposit: Required at the time of booking for each reservation under the Block.
- Cancellation Fees:
- More than 7 days’ notice: The 50% deposit will be refunded in full (minus the administration fee).
- 7 days or less: They’ll be charged the admin fee and the full value of one night’s stay.
- All remaining balances will be charged to the credit card upon expiry of the free cancellation period (7 days).
- New reservations made after the expiry of the free cancellation period (7 days) will be noncancellable and they will be charged the full amount due, including the admin fee.
Admin Fee Refund
- The $20 Administration Fee for booked rooms will be refunded to the original booker after the 60-day mark. Any unbooked rooms? Sorry, the fee is forfeited.

Corporate Group Block Policy
(Because, admit it, business trips should feel a little less… business-y)
We’re here to make planning your company’s stay as smooth as your best sales pitch. Whether you’re hosting clients, teammates, or out-of-town execs, we’ve got you covered with flexible, no-fuss group bookings.
What’s Included
- We’ll hold a block of rooms just for your crew, based on your needs and our availability.
- The room rates are locked in at the current market rate, until the “Release Date” – so, no surprises here!
- Room selection will be managed by our team to keep your group close, while being mindful of other guests.
- The Booker (that’s you!) may or may not be staying, but you’re our go-to for all group communication.
Payment Options
Choose what works for your team:
- Master Bill: Your company pays for all rooms.
- Individual Pay: Each guest books and pays for their own room using your custom booking link or code.
Let us know your preference at the time of booking.
Deposit
A $250 non-refundable deposit is required to hold the block.
This amount will be applied to your final group balance, the organizer’s room booking, or refunded to the original card, if appropriate. However, if the entire block is cancelled at any time, the deposit is forfeited.
Cancellations & Release Dates
For Master-Pay Blocks
- The Booker is financially responsible for all rooms in the block.
- A final rooming list is due 7 days before arrival. At that point, all rooms are guaranteed and non-refundable.
- Any rooms cancelled after the 7-day mark will be charged one night per room to the master account.
For Individual Pay:
- Guests may cancel 7+ days before arrival for a full refund.
- Cancellations made less than 7 days before arrival will be charged one night’s stay.
- Any unbooked rooms in your block will be automatically released 30 days prior to arrival.
- After that, rooms may still be available, but not at the group rate.
Other “Need-to-Knows”
- Check-in: 4:00 PM | Check-out: 11:00 AM
- A two-night minimum may apply on weekends depending on season and location.
- Early check-ins and late checkouts aren’t guaranteed but feel free to ask – we’ll do our best.
- Looking to up the experience? Ask us about meeting space, catering from JOE. Hot+Cold, or local add-ons like wine receptions and custom swag.

Total Hotel Takeover
We are very pleased to offer you the option of a TOTAL HOTEL TAKEOVER for your group, based on our availability at the time of booking. Please note that this DOES NOT include the areas of JOE. Hot+Cold, but does include all common areas of The Hotel. TAKEOVERS include exclusive access to the entire hotel for your group, 20 guest rooms, daily housekeeping and a complimentary Check-In Wine & Cheese Reception.
Low Season (September to April)
Weekdays: $3,250 + HST per night
Weekends: $3,750 + HST per night
High Season (May to August)
Weekdays: $3,600 + HST per night
Weekends: $4,500 HST per night**
**There is a two-night minimum for weekend bookings (Friday or Saturday) from May 1st to August 31st.
- A non-refundable reservation fee of $1000.00 will be applied to all takeovers and this fee will be due and payable at the time the initial group block is set-up.
- Standard check-in is 4:00pm and check-out is 11:00am. *Early check-ins and late checkouts may be available for an additional fee ($50/per request).
- Your takeover will include daily housekeeping (upon request) and will also include a complimentary wine & cheese check-in reception – hosted by us for your guests from 4pm-6pm on the day of arrival.
- The booking may be cancelled, without additional penalty, up to 30 days prior to the check-in date (less the non-refundable fee already paid).
- Full payment will be collected 30-days prior to the event and the Cancellation Policy will then be as follows:
- More than 7 days’ notice: 50% refund of the full amount due;
- 7 days or less: there will be no refund issued.

A Total Motel Takeover
We are very pleased to offer you the option of a total motel takeover for your group, based on our availability at the time of booking. Please note that this does not include the areas of JOE. Hot+Cold, but does include all common areas of the hotel. Takeovers include exclusive access to the entire hotel for your group, 20 guest rooms, daily housekeeping and a complimentary Check-In Wine & Cheese Reception.
Low Season (September to June)
Weekdays: $3,750 + HST per night
Weekends: $5,000 + HST per night
High Season (July to August)
Weekdays: $4,750 + HST per night
Weekends: $6,500 + HST per night*
